Job Summary

The Deputy Chief of Staff will work directly with the Provost and Senior Vice President for Academic Affairs to manage a variety of institutional projects and initiatives on behalf of the Office of the Provost and Academic Affairs. The Deputy Chief of Staff will help manage priorities towards the University Strategic Plan and academic priorities. The Deputy Chief of Staff will help lead and participate in internal operations, external affairs, special projects, and other areas as needed.
The Deputy Chief of Staff reports to the Provost and Senior Vice President for Academic Affairs.

Job Description

  • Work with the Provost to prioritize, communicate, and manage organizational priorities and initiatives.
  • Serve as a writer for public speeches, executive correspondence, published letters, etc. on behalf of the Office of the Provost.
  • Work across the organization to help ensure coordination and alignment on goals and objectives, while identifying opportunities, challenges, and barriers to success.
  • Collaborate with faculty, staff, and administration on internal-facing and additional external-facing projects on behalf of the University.
  • Lead select projects assigned by management, including strategic projects and initiatives to advance the University Strategic Plan.
  • Develop and implement systems to help the institution identify, communicate, and track status of key organizational priorities and projects.
  • Works closely with internal and external stakeholders on various projects relating to the Provost’s and academic affairs priorities.
  • Participates in key internal and external meetings, as needed or delegated.

Minimum Qualifications

  • A bachelor’s degree from an accredited university and a minimum of 3 years of progressive leadership experience in a relevant field (administration, project management, or other related field), or an equivalent combination of education, training, and experience in administrative roles within organizations.
  • Proven track record of developing effective partnerships across disparate groups to organize and facilitate decisions and ensure implementation.
  • Proven ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.

Knowledge, Skills and Abilities

Excellent communication skills with the proven ability to educate and build trust across a wide variety of constituencies.

Ability to be an active listener who can learn from the broad range of constituencies and interact productively in the exchange of ideas.

Ability to work a demanding schedule, including evenings, weekends and frequent “on call” duty.

Demonstrated skills in supporting and coordinating the creation of written communications, presentations, talking points and other similar materials.

Experience analyzing data to synthesize quantitative information to assist with decision making.

Demonstrated ability to handle complicated issues with tact and diplomacy while exercising discretion and maintaining confidentiality.

Proven ability to work independently of direct supervision and take initiative without specific instructions.

Physical Requirement/Demands

May require extended periods of sitting or standing at a time.
